Licences or certificates are typical examples of documents usually originating in a paper format. Many also have multiple signatures as proof of authenticity. Legal processes often regard these as proof of compliance and they may need to be stored confidentially. This is especially the case for licences or certificates kept by the police or local governments. Such institutions often handle voluminous paper records that need to be safe-guarded for lengthy periods.

| Lothian and Borders Police has been able to improve firearms and explosives licensing administration by using genisys. All records are now scanned automatically. Rules built into the system mean that the administrator cannot enter an incorrect code for an item and so eradicates the risk of misfilling.

| Scottish Prison Service Training College uses genisys to scan and extract data from training evaluation forms (Using Optical Character Recognition and Optical Mark Recognition technologies). Extracted data is used to update the reporting database. Evaluation form images are archived directly into genisys and automatically indexed using data extracted from the form. |
